Create a quote or invoice

Prepare a customer document, send it for review, and follow its status.

Quotes help you share an estimate before work begins. Invoices are customer documents for amounts due. Both can include products or services, quantities, discounts, taxes, customer details, notes, and payment terms.

Create a quote

  1. Open Finance → Quotes and choose New quote.
  2. Select a customer, add at least one line item, and review quantities and prices.
  3. Set the issue and expiry dates, payment details, and optional notes.
  4. Save the quote, open its details, and share or send the document to the customer.
  5. Update the quote status from its details as the customer responds.

When a quote is accepted, use its conversion action to create an invoice. The quote remains available as the original estimate; it is not a second invoice or a sale.

Create an invoice

  1. Open Finance → Invoices and choose New invoice, or convert an accepted quote.
  2. Select the customer, add line items, and check dates, payment terms, taxes, discounts, and notes.
  3. Save and review the invoice details before sharing it.
  4. Update the invoice as it is approved or paid. Check the linked sale or payment record when you need to confirm money received.

An invoice's acceptance or delivery status does not by itself prove that a customer has paid. If an invoice is accepted, SokoWise posts the related sale; use the sales record for its payment and stock effects. Do not create a second sale to represent the same invoice.
